Archive Runtime Data In WinCC v 5.1

Dear Experts

I want o archive my runtime data like alarms, reports, trends etc to some another folder which I can copy in case it require in future also I don't want my hard disk to occupy all memory space since the system drive is only 80 GB running on Windows NT 4.0 workstation. But I am very new to this system. Please advice me;

should I use User Archive option???
If yes, should I purchase any extra license???
Provide me a detailed document to configure it if you have???
